Applying to trade FAQs

What is a food stall?

A food stall is any stall selling food or drinks for consumption on the day of the Fair. Confectionary is also included in this category.  We limit the number of food stalls at Strawberry Fair to ensure custom isn’t spread too thinly, and we ensure we have a mix of different types of food and drinks on offer. We therefore consider all food applications at the same time and make offers of pitches to a number of food stalls based on these points.


What is a standard (non-food) pitch?

A standard pitch is a space for a stall which is not selling food or drink as described above. This includes things like clothes, accessories and crafts, but could also include food gifts (packaged to be taken home), eg jams and chutneys.

A standard pitch includes space for one vehicle to park behind the stall. You will need to bring your own table/gazebo, etc. No electricity is provided at the pitch, however you may bring a (non-petrol) generator.


What is a charity/community stall?

If you are a local community group or a registered charity, then we may be able to offer you a discounted pitch, as Strawberry Fair is very much a community event. Please give details on the application form.


What is a blanket/table pitch?

These are the most basic options available, and offer great value for those unable to afford a standard pitch, for example, hobbyists selling handmade crafts. Blanket and table pitches are literally what the name suggests - a small pitch for you to spread out a blanket or put up a table and sell your wares from. These pitches are all located together in an area of the Fair. No gazebos are permitted at these pitches, and they do not come with an on-site parking space, although you can park a vehicle in our nearby car park and walk on-site instead.


What is a mobile trader/walkaround?

If you do not need a physical pitch and can carry and sell your goods from about your person, you can apply for a walkaround (/mobile) pitch - please select the appropriate option on the application form under ‘stall type’.

Please note that we limit the number of balloon traders on site, to ensure that custom is not spread too thinly, so if we are at capacity, we may not be able to accept your application.


What can I sell from my pitch?

The answer is almost anything. Clothes, gifts, accessories, crafts, jewellery, leather goods, furniture, textiles… to name just a few! There are a small number of goods which cannot be traded at Strawberry Fair:

  • Anything illegal, including drugs (and drugs paraphernalia) and weapons

  • "Legal" or natural highs

  • Alcohol

  • Black henna

Of course you don’t need to be selling anything. For example, if you are a charity or local community group, then you may wish to distribute information, or offer activities for people to participate in.


How much does it cost to have a stall at Strawberry Fair?

Prices depend on the size and type of your stall, and any extras you book, such as additional parking or early arrival. Please complete the online application form and we will send you further information, including a quote for your individual circumstances.


Can I complete a paper application form?

We ask that everybody completes the online application form, to ensure that we have all the details that we need. If you have any difficulties completing the form, please email traders@strawberry-fair.org.uk.


Are stall dimensions measured in metric or imperial?

Please give the dimensions of your stall in METRES, not feet/yards. As a guide, a standard gazebo is usually 3m x 3m. For help with conversion, try: www.metric-conversions.org/length/feet-to-meters.htm.


Does the depth of the pitch need to include space for my vehicle?

No, please just give the dimensions of your actual stall space. We allow adequate space for vehicles behind the stalls.


Can I have more than one stall?

Yes - please complete a separate application form for each so that we have all the details.


I’ve submitted an application form; what happens next?

After you apply, you will receive a confirmation email with all of the details you submitted to us on your application form.

If you are applying for a food stall, you won’t then hear from us until we close food applications in spring, when we will make decisions on what types of food and how many to accept. We’ll then let you know the outcome of your application.

If you are applying for a non-food stall, we will aim to get in touch with you within 21 days, to provide a quote and further information. Details of how to confirm your booking will be included.


I applied a while ago and I haven’t heard anything yet. How long do you take to respond to applications?

You should receive a confirmation of your application immediately. After that, we try to respond to applications as quickly as possible. Strawberry Fair is run entirely by volunteers, and most of us have jobs and other commitments, so we sometimes do get behind on things. If you haven’t had a response to your application within 21 days, please drop an email to traders@strawberry-fair.org.uk to let us know.


After booking your pitch FAQs

What is the theme of Strawberry Fair 2018?

This year’s theme is [drum roll]... heroes! Whether they be comic strip, caped, winged or sporting; thespian icons, comedic deities or historic vanquishers; saints and sinners; those who have overcome terrible circumstances and inspire us with their warrior courage; inspiring members of our family who have been our allies and our advocates; or dedicated paragons of our community who for whatever reason - just rock our world.

Can I trade in a specific area/by a specific stage?

If there is somewhere in particular you’d like to be sited, let us know and we’ll make a note of your request, however we are unable to guarantee specific pitches. To have the best chance of getting your favourite spot you should aim to arrive early on Friday (or buy an early-access Thursday pass).

When can I arrive?

You can arrive between 8am - 8pm on Friday 1st June, or from 8 - 10am on Saturday 2nd June. If you’d like to arrive earlier than this, you can contact us to purchase a Thursday pass. Please note that no traders will be allowed on site before Thursday.

There is nowhere to wait outside the gate so please do not arrive at the site before the opening times listed. In previous years queuing has caused traffic congestion and the police will be moving vehicles on if you park on the road.

When can I leave?

Vehicle movement is prohibited on-site until at least 11pm for safety reasons, so you will not be able to move a vehicle from behind your stall before this. However you are welcome to spend the night, and can leave on Sunday, by 5pm. If you need to leave earlier than 11pm on Saturday, you can leave your car in our car park instead of behind the stall line.

Can I arrive on Thursday?

Yes, but you’ll need to purchase a Thursday pass. Please email us for details.

Is there water/electricity onsite?

There is a water tap available on site. Pitches do not come with electricity. You may bring a diesel or LPG generator, however permission must be obtained from the Traders Manager (please email) and petrol generators are strictly forbidden.

Where can I park?

If you have a standard or charity/community stall, you may park one vehicle behind your stall. If you have a blanket/table stall, you may park one vehicle in the car park. You can purchase additional vehicle passes for on-site or the car park - please email us for details.

I have a disability; can I park at my stall?

If you have a standard stall, you can park a vehicle behind it. Vehicles are not permitted in the blanket pitch area; if you have access requirements, please get in touch and we’ll be happy to discuss arrangements with you.

How do I pay for my pitch?

Preferably by bank transfer. Once you have confirmed your booking, we will send you an invoice with our details. If you are not able to pay by bank transfer, you can send us a cheque or visit a Co op Bank to make a payment. Please note that your pitch is not reserved until we have received payment.

I need to cancel, can I get a refund?

We will send you full terms and conditions with your invoice. Please contact us as soon as possible if you have booked and then find that you are unable to attend.

Can I bring a generator?

Strawberry Fair does not provide generators, access to generators or service support for generators to traders. PETROL GENERATORS ARE STRICTLY PROHIBITED and not permitted on site at any time. Only food stalls are permitted to use a diesel generator unless a valid reason is agreed with the Stalls Manager in advance.

When I will receive my paperwork?

We aim to send out invoices within 21 days of you confirming your booking. We will then send further information closer to the time.

Do I need public liability insurance? Where can I get this from?

You must have public liability insurance (all traders) and employee liability insurance (if over 10 employees) to trade at Strawberry Fair. If you do not already have insurance in place we recommend contacting the National Market Traders Federation. It is also possible to purchase short term cover.

How do I find the Fair?/What’s the address?

Strawberry Fair takes place on Midsummer Common, Cambridge. The site’s vehicle entrance is on Victoria Avenue, near the roundabout junction with Jesus Lane and Maids Causeway.
